About this resource

You have two paras, six students who each need something different, and a schedule that lives in your head. This is the case manager's side of running a room with paraprofessionals, in one fillable PDF: a team roster, a student support matrix (students by periods, with the para's initials and a code for the kind of support in every cell), a daily schedule per para copied straight off the matrix, a weekly zone plan for arrival, hallway, cafeteria, recess, dismissal and bus, a coverage plan for the day a para is out, a one-page sheet for a substitute para, an expectations and task list, a communication log, a weekly check-in, a training log, a confidentiality agreement in plain words, and a filled example for an invented two-para, six-student team. Type it once the week before school; a mid-year change is a five-minute edit.

What This Is, And What It Is Not

It is NOT a Google Sheets file, a Google Doc or an Excel workbook, and it does not total hours or check for double-booking.

It is not the sheets the para writes on during the day; those are the Paraprofessional Daily Data Sheets, and this file only names which one to carry in the data column of each schedule. It is not a handbook, a contract, or an evaluation, and it does not state what a para may or may not be asked to do or what must be reported; that is your district's policy, and the expectations page and the confidentiality page each have a line to write it on.

Who This Is For

Special education teachers and case managers who supervise one to six paraprofessionals, the paras who get a printed schedule and a zone plan instead of a verbal one, lead teachers building a coverage plan before the first absence, and anyone who has to hand a substitute para one page that is enough.
