About this resource
The schedule lives in your head, or in a spreadsheet nobody else can open, and the day a sub walks in it does not exist. This is every schedule a self-contained, resource or inclusion room needs, in one fillable PDF, built in the order that makes the minutes add up: services first, then groups, then adults. A service-minutes worksheet (the IEP minutes by area, what the schedule gives each student, and the difference), a master class schedule in 30-minute blocks and a second one in 15-minute blocks, a student schedule and a four-students-on-a-page copy, a center rotation plan, a small group schedule, an inclusion and push-in schedule, a related-services pull-out schedule, an adult schedule grid, a specials and lunch grid, a change log with the sub copy, and a filled example for an invented six-student, two-para room whose scheduled minutes were added up from its own schedule day. Type it once before the term; a mid-year change is a five-minute edit and a line on the log.
WHAT IS INCLUDED - 18 pages, 1054 type-in fields
Setup
- Which Template for Which Room - four kinds of room (self-contained, resource, inclusion and co-teaching support, related-service provider), the pages each one builds from, the six-step order (minutes, fixed points, groups, master schedule, adults, copies), and when each page gets touched
- How the Type-In Fields Work - one page, so nobody emails you
- Service Minutes Worksheet - 12 students by seven areas (reading, math, written expression, social and behavior, speech, OT and PT, other), a total column, a scheduled column and an owed column, with the rule for each written on the page and a box for the fix
Master Schedules
- Master Class Schedule, 30-Minute Blocks - 16 blocks from 7:30 to 3:00 down, Monday to Friday across, big cells
- Master Class Schedule, 15-Minute Blocks - one day in quarter hours, 7:30 to 11:15 on the left and 11:30 to 3:15 on the right, with activity, adults and where for every quarter hour
Student And Group Schedules
- Student Schedule, One Student - 14 blocks: time, where, with whom, what, and a changes box; Save As per student
- Four Students on One Page - four compact daily columns of 15 blocks each, initials only, for the para's clipboard or the wall
- Center and Station Rotation Plan - four rounds by four stations with a start and end column and a timer row, a station table (what happens there, adult, materials and data sheet), and a group list for groups A to D
- Small Group Schedule - 8 groups down, five days across, the skill and the time in every cell
Inclusion, Services, Adults, Fixed Points
- Inclusion and Push-In Schedule - 14 rows: student, gen-ed class and teacher, period, days, support adult, minutes per week, what the support looks like
- Related Services Pull-Out Schedule - 6 providers down, five days across, students and times in every cell, and a box for provider contacts and fixed days
- Adult Schedule Grid - the teacher and four more adults across, a name-and-hours row and 12 blocks down: who is where, every block
- Weekly Specials and Lunch / Recess Grid - 12 students: specials Monday to Friday, lunch, recess, dismissal, and a box for early release and assembly days
- Schedule Change Log and Sub Copy - 10 dated changes (what, from, to, starts, who was told, initials), a nine-line sub copy of what a substitute must know about the schedule, a line for your district's rule on who approves a change to service minutes, and where the current schedule lives
- A filled example - an invented Room 14 with six students and two paras: the service-minutes worksheet and one Tuesday of the master schedule, where every scheduled minute on the worksheet was added up from the day below it and the two owed cells show what the page is for
What This Is, And What It Is Not
It is a fillable PDF. Open it in a PDF reader, click a line, a box or a cell, type, press Tab to move on, and Save As once per term, per student copy or per adult. It works offline with no account or subscription. It is NOT a Google Sheets file, a Google Doc or an Excel workbook, and it does not add the minutes or flag a double-booked adult.
It is not a bell schedule, a curriculum, or a statement of how many minutes any student should get. The minutes come from each student's IEP and the district's bell schedule; this file only makes them add up on one page and puts them where every adult can read them. Whether a schedule change needs a signature is your district's rule, and there is a line to write it on. The para's support matrix, zone plan and coverage plan are in the Paraprofessional Schedule and Zone Plan and are not repeated here.
Who This Is For
Self-contained and resource room teachers building the year's schedule around IEP minutes, inclusion and co-teaching support teachers who go to the students, related-service providers scheduling several rooms, and any case manager who wants the sub, the paras and the family to hold the same schedule the teacher does.
