About this resource
WHAT IS INCLUDED - 17 pages, 401 type-in fields
Setup
- Start Here - a chooser that matches your situation (same groups and blocks all week, meeting times that should rotate fairly, an interventionist serving several rooms, a sub or co-teacher covering today) to the pages it needs, the build order, and what this file is not
- How the Type-In Fields Work - one page, so nobody emails you
The Schedule Itself, In Three Forms
- Weekly Small-Group Schedule Grid - four time blocks by five days, plus an editable block time key; every cell is the group assigned that block that day
- Multi-Week Rotation Cycle Planner - eight weeks by four groups: write only the starting block, and the week builds itself because a five-day week and four blocks never divide evenly
- Single-Group Detail Cards - four editable cards (members, adult or provider, room, primary focus skill, a note for a sub, and a five-day meeting-pattern row)
Groups, Rooms And Caseload
- Interventionist and Provider Travel Schedule - nine provider rows by five days, for the specialist who serves small groups in more than one room
- Group Setup: Adults, Rooms and Focus Areas - one reference row per group (A-D), plus a shared-materials card
- Student Caseload Roster - sixteen student rows: name or initials, group, skill focus, and notes
- Group Minutes and Coverage Roll-Up - the roll-up: scheduled minutes per group per day and per week, plus a caseload-coverage check that every student on the roster lands in exactly one group
Copies For Other Hands
- Substitute and Coverage Quick Reference - today's groups at a glance, what a sub or new provider needs to know, what to do if something goes wrong, and where things are kept
- Schedule Communication Phrase Bank - 27 observable-language starter phrases across eight groups (starting a block, a schedule change, covering for an absent adult, asking for help, transition, a sub note, finishing a block, a co-teacher or new team member)
- Co-Teacher and Team Communication Page - the note a co-teacher, paraprofessional, or substitute would otherwise be told about in the hallway, with blanks for this week's groups and focus
- Binder Spine Label and Tab Labels - one spine-label field and six marked, cut-and-tape tab labels, plus a tab key naming what each one covers
- A filled-in example: four invented groups, twelve invented students, two weeks, with the cycle planner, the weekly grid for both weeks, and the minutes-and-coverage roll-up all cross-checked against each other
What This Is, And What It Is Not
It is a fillable PDF. Open it in a PDF reader, click a line or a box, type, press Tab to move on, and Save As once per cycle. It works offline with no account or subscription. It is NOT a Google Sheets file, a Google Doc or an Excel workbook, and it does not rotate the groups automatically or send a reminder - the weekly grid has to be typed or written in from the cycle planner.
It is not a lesson-plan template and not a statement of what a group should be taught: the focus-skill word in every cell is yours to write. It is not a bell schedule or a master classroom schedule (that is the companion Classroom Schedule Templates file, linked on the back page). It is not a caseload or health-data tracker: the roster here holds a group assignment and a focus-skill word per student, nothing a health record would carry. Whether a schedule change needs anyone's sign-off is your district's rule, and there is a line to write it on.
Who This Is For
Special education and general education teachers who run small groups, the interventionists and related-service providers who serve groups across more than one room, and anyone handing a sub, a co-teacher, or a new team member one page that explains where every group is supposed to be.
